Documents arriving from everywhere
Email, WhatsApp, a paper bag on the counter on the 8th of the month. Someone has to gather it, sort it and work out what each thing is — before anyone even thinks about posting.
Kontoo reads your clients' documents, applies your practice's rules and posts them to your accounting software — day and night, with nobody at the keyboard. Sales and purchases. What's left for the accountant is the only part nobody can do for them: deciding what isn't obvious.
Nothing migrates: Kontoo writes into the Primavera your practice already runs, with the numbering and the accounts it already uses. The integration is complete and live in production.

An experienced accountant decides an entry in seconds. What eats the month is collecting, sorting, typing and chasing — work that needs nobody experienced to get done.
Email, WhatsApp, a paper bag on the counter on the 8th of the month. Someone has to gather it, sort it and work out what each thing is — before anyone even thinks about posting.
Tax number, dates, taxable base, VAT rate, account by account, document by document. Hours of keyboard per company, every month, always the same — and always one slip away from an error.
Which companies are up to date? Whose bank statement is missing? Who hasn't sent anything at all? Today you find out company by company, sheet by sheet, already close to the deadline.
Posting sales from a SAF-T file is what everyone already does: the file arrives structured, with the document type, the lines, the rates and the totals. Purchases are the real work — they arrive as PDFs, one at a time, from domestic and foreign suppliers, each with its own account, its own VAT class and, when they come from abroad, the reverse charge. That's where the month is lost, and that's where Kontoo works.
An invoice from a foreign supplier arrives at zero VAT. Kontoo reads the market, resolves the class in that company's own VAT chart and, if the chart declares the reflection, posts both reverse-charge lines. None of this is written in our code — it's configured in the practice's accounting software, and that's where it comes from.
“Cash over the counter goes to petty cash.” “This supplier is always professional fees.” “Invoice-receipts don't open a current account.” Written once, in plain language, and they hold across every company in the portfolio. Counter sales are grouped by day — forty Tuesday receipts are one Tuesday entry, not forty.
One screen per month and per company with what can already go, what's still to decide and why — and one click posts everything that's ready. Or not even that: the automatic shift runs day and night and leaves on the table only what needs a human decision.
By morning, what's left is what's worth looking at.
08:30
None of this asks for blind trust. Every entry posted on its own keeps the document beside it and the rule that decided it in plain sight, and can be reviewed at any time. The automatic shift is switched on company by company — and switched off the same way.
These are the steps. Most days Kontoo takes all of them on its own — your practice steps in wherever it wants to, and nothing is written that it can't review.
The company sends invoices through the portal or straight from a phone — several pages in one document, automatic cropping, iPhone HEIC included. Nothing to install, and one less email for you.
Kontoo's reading engine puts every document through several layers of analysis and cross-checks them against each other — entity, tax number, dates, bases and VAT come out confirmed, not merely transcribed. And when the layers don't agree, the field is flagged for someone to decide, instead of slipping through unnoticed.
The folder and document type carry your firm's posting template. Debit and credit lines come pre-filled — account, cost centre, VAT rate. If it doesn't balance, Kontoo tells you exactly where.
The entry is written with journal, number, entity and period. The automatic shift does it with nobody at the keyboard; anyone who'd rather review first posts in bulk, or document by document. The receipt or payment comes out as its own document, linked to the invoice — and what's still outstanding is always calculated, never a field kept by hand.
Import the statement as PDF, XLS or CSV. Kontoo proposes the matches with a confidence score and explains each one. Accept every high-confidence match at once; handle by hand only what's left.

Kontoo keeps no parallel ledger. It reads what already exists in your practice's software and writes back into it — with the numbering, accounts and journals that company already uses.

Full integration, running in production — reads and writes.
What's in the accounting software is the truth. No parallel chart, no double maintenance, no mappings ageing in a spreadsheet.
No exporting, no file in between. And if the movements come through unbalanced at source, the difference is flagged instead of hiding inside a total.
Debit equals credit, accounts that genuinely exist, an open period. Sending a broken entry to the ERP hoping it will refuse it means trading a clear message for an SQL error.
Suppliers and customers that don't exist yet are created with the numbering and current-account structure that company already follows — not the next free number.

Primavera is connected and running in production: Kontoo reads the instance's structure — chart of accounts, counterparties, journals — and writes the entries inside it. Nothing is duplicated on this side, and the accounts stay where they have always been audited.

The company signs in to an app carrying the firm's brand, on the firm's domain — app.your-firm.com. It isn't Kontoo talking to the client. It's the firm.

The day the account opens, the Portuguese tax catalogue, the folders and the document types are already there — configured, and yours to reshape afterwards.
Software engineering with years in banking, industry and the public sector — and the experience of implementing Cegid ERPs inside accounting firms, which is what explains why the accounting-software integrations aren't an add-on here.
About usThe engineering house that builds and runs Kontoo.
Isolation between firms is enforced by the database itself — not by a check someone might forget to write.
Every request runs bound to the firm and the user who made it, and the rule lives in the deepest layer of the platform. One firm cannot see another's data — not by mistake, not through a badly written query, not through a page left open on the wrong account.
The credentials you connect to Kontoo — your accounting software, e-Fatura — are encrypted with managed keys and never come back out: not on any screen, not in any export, not in any response from the platform. Not even to the firm that entered them.
Sign in with a fingerprint, Face ID or Windows Hello, with no password for anyone to reuse elsewhere. Active sessions are visible and can be revoked one by one, or all but this one.
The platform runs on Amazon Web Services infrastructure in the Central Europe region — your firm's data and your clients' data stay hosted in the European Union. It's the same infrastructure European banks, insurers and public services are built on, and it carries the provider's own security certifications, ISO 27001 and SOC 2 among others.
No — and that's the whole point. Kontoo doesn't replace your ledger: it writes into it. The chart of accounts, the entities, the journals and the movements go on living in the practice's accounting software exactly as they do today. What changes is that a person is no longer the one keying them in.
With a reading engine we built ourselves, which puts every document through several layers of analysis and cross-checks the results until it has the fullest picture it can get. It isn't «an AI reading a PDF»: reliability comes from combining the layers — and that combination is also what tells us which fields it is sure about and which it isn't. Anything short of enough confidence is flagged for someone to confirm; Kontoo never guesses, and never creates a new supplier on its own.
Nothing is written blind. Everything extracted stays editable next to the original document, the proposed entry shows the accounts and totals, and if debit doesn't match credit Kontoo stops and tells you where the difference is — before the ERP sees anything at all. What the automatic shift posts is what balances without doubt; the rest waits for a decision, with the reason in plain sight.
It posts what leaves no doubt, and only in the companies where your practice switches the automatic shift on — which switches off the same way. Everything else waits for a decision, with the reason in plain sight. And what was posted on its own doesn't vanish: it keeps the original document beside it and the rule that decided it in view, to be reviewed whenever you want. In practice it's the opposite of losing control — you only see what needs you.
No. They open a browser, or install the app on their phone straight from the site (PWA) if they prefer. Photographing an invoice, cropping it and sending it takes less time than writing the email they'd have attached it to.

Pricing is per firm, based on how many companies you manage. Book a demo and you'll leave with the right proposal for your portfolio — not a generic table.
We connect to your accounting software, upload real documents and show you the entry being born. Pick the company you dread closing most — the one with paper invoices, the one whose bank statement nobody reconciles, the one that's always late — and bring that one. Half an hour later you'll know exactly where Kontoo saves you time, and where it doesn't. If it isn't faster than what you do today, at least you've met us.
